Techy question

    I need to put some forms onto a server (employment docs, contracts, etc.) and I need people to be able to fill the forms in and be able to print them out but not be able to save the information they have typed in on the server (so the template form remains the same).</p>

    Is it possible to do this in Word? If not can anyone suggest how it can be done.</p>

    Please elaborate.

    Are they going on some kind of Intranet?

    I don't full understand.

    'Save As' the original Word document as a type 'Document Template (*.dot)'.

    When this template is opened it will open as a new 'untitled' document. Hence, they won't save back over the top of the original template.

    cant you just save it as a read only? or do they have to open it up and change it?

    sounds perfect for sharepoint and infopath

    but you need techies to put that in place - for a simple solution the word template is a good un but your dependant upon users saving them in the right place.

    This sounds like we're getting somewhere.</p>

    Yes it's going onto an intranet, problem is that I can use Word to a degree but I'm no expert.</p>

    People need to be able to fill the forms in then print them off so &quot;read only&quot; or pdf is not an option, previously I put them on in ordinary Word format but what tended to happen was people filled the forms in then saved them meaning that personal information was publicly available and the template was ruined.</p>

    Email them all a copy ........

    .............. get them to fill in their bit, then email it back to you for you to save in your safe area.</p>

    Sharepoint is the way to go, but there are still issues around versioning and multiple people making multiple changes to the same document.</p>

    I think you can get pdf forms

    where the appropriate boxes are ediitable. So it could be an option. Dunno if the best though.

    The problem is not the editing side of it, what I don't want is the completed form to be able to be saved electronically. I want them to be able to fill in the form on the pc and print it out but not be able to save the information they have typed in onto the server, Word templates work right up to the last point because the copy of the template can be saved, likewise with editable pdfs.</p>

    In the past it has given us big confidentiality issues and I'm pretty sure that we either did, or were in danger of contravening the data protection legislation regarding personnel records.</p>

    Thanks to everyone for responding, if anyone has any more thoughts on the issue please let me know.</p>

    If its sitting on a server, why not set the file and/or the folder permissions to read only for everybody except you?
